Staff Information for Fellowship Awards

Fellowships can be paid or unpaid.

OF requires the following documents:

    • An adequate research proposal from the applicant
    • A curriculum vitae/resume of the applicant
    • Itemized Budget if receiving a research allowance

These should be submitted to OF through the SOLAA system.
 

Awards

 
Can include the following:

Stipend – funds to cover living expenses – housing, food, local transportation etc.

Maximum of $60,000 per 12 month year and prorated for shorter periods of time

Travel – a one-time travel allowance is intended to assist with the researcher’s relocation to the Smithsonian. 

Reasonable amount to cover a round trip ticket (receipts are not collected)

Research Allowance –  for equipment, supplies, research-related travel costs, and other support required to conduct the research itself (excluding stipend and relocation costs). 

These funds must be requested during the appointment through the advisor.

No maximum.

Health Insurance Allowance –  funds that may be applied toward SI health insurance or external health insurance.

 

Extensions

 
All requests for extensions of appointments must be accompanied by the following documents:

  • A report from the appointee on their previous research or project, submitted through their Smithsonian advisor and
  •  a description of the proposed research activity under the extension submitted by the appointee through their Smithsonian advisor.

 

Actions During Fellowship Tenure

 
 

Requesting a Research Allowance

 

Fellows must submit a request to have part or all of a research allowance released by submitting a research budget approved by their advisor(s).  We do not need receipts.
The fellow can either email their request to their advisor and they can forward it to KameniC@si.edu.

Or

The fellow can email it to KameniC@si.edu and cc’ the advisor and the advisor needs to respond saying they approve.

Approved budgets must be submitted to the OFI at least 3 weeks before the tenure end date.

The allowance will be provided by direct deposit into the same account as the stipend.

 

Vacation and Sick Days

 

Because of the limited period of tenure associated with a research appointment, no formal provision is made for vacation or sick leave. During a twelve-month appointment, up to three weeks of leave for vacation or illness is considered reasonable; however, individual arrangements must be made with the researcher’s Smithsonian advisor.

Otherwise, awardees are expected to be engaged in their research at the Institution unless they have the approval of their host/advisor and have notified the Office of Fellowships.

Please note that Federal Holidays are observed for all Smithsonian employees and academic appointees.

 

Change of Dates 

 

The fellow should first contact their Smithsonian advisor(s) for their approval  and then submit a request  by e-mail to the Office of Fellowships and copy the advisor(s) and unit coordinator. If the request is approved, you will receive a letter confirming the new dates.

 

Leave of Absence

 

The fellow should first contact their Smithsonian advisor(s) for their approval  and then submit a request  including the dates of the leave of absence  by e-mail to the Office of Fellowships and copy the advisor(s) and unit coordinator. If the request is approved, you will receive a letter confirming the the leave of absence.

 

Early Conclusions

 

If the fellow opts to leave they need to write an email  that needs to be sent to OF either directly from the fellow or forwarded by the advisor. A letter will be sent confirming the conclusion of the appointment.

Adding Additional Funds

 

Additional funding can be provided by submitting an amendment through SOLAA.
